How to evaluate and choose an e-invoicing system
Before paying for an e-invoicing system, check these criteria: real cost, control of your data, support, and compatibility with the MH.
Leer en español →The market filled up with e-invoicing systems, and they’re not all the same. Before signing a contract or paying a subscription, it pays to compare carefully. This is the checklist we recommend to our clients.
1. Real cost, not just the sticker price
Ask for the total cost: license, subscription, included documents, cost per extra document, and support fees. A low price with strict limits can end up costing more.
2. Who controls your data?
Many systems store all your information in a third party’s cloud. Ask yourself: if you switch providers tomorrow, can you take your data with you? Local solutions like IVATOOLS keep the information on your own computer.
3. Compatibility with the MH system
The system must work with the Ministry of Finance’s, not against it. Verify that it correctly validates the JSON against the MH seal and stays updated as regulations change.
4. Real automation
The value is in what it saves you: does it inject data automatically? Email invoices? Download purchases from your inbox? Generate VAT reports on its own? If you’re still typing by hand, it isn’t automating.
5. Close support
When something fails mid-filing, you need a fast answer in your language. A local provider with real support is worth more than a huge, impersonal platform.
In short
| Criterion | Key question |
|---|---|
| Cost | What’s the total annual cost? |
| Data | Where does my data live? |
| MH | Does it validate and update with the Ministry? |
| Automation | How much manual work does it remove? |
| Support | How fast do they respond? |
